Complaints Procedure

We strive to ensure that there should be no time that you should have any cause for complaint in relation to the service which we provide to you. In the unlikely event that you wish to raise a complaint or have any other concerns with regard to the service we have provided you may submit a formal complaint to ourselves and the complaint will be fully investigated on your behalf.

The complaint may be made by letter telephone, email or in person. The complaint should be made to one of the directors.

We reserve the right to decline to consider a complaint which is made more than 6 months after you became aware of the cause of the complaint.

Once the complaint has been submitted to our offices we will forward a written acknowledgement of the complaint within 5 business days of receipt of the complaint and we will provide to you with the name and title of the individual who will investigate your complaint on our behalf

Within 4 weeks of receiving the complaint we will either provide you with:
A. a final response, or
B. a holding response in which we will explain to you why we are not yet in a position to resolve your complaint and we will then contact you further in no longer than 8 weeks from the date of receipt of the complaint.

By the end of 8 weeks after receipt of the complaint we will forward to you one of the following:
A. our final response, or
B. we will explain to you that we are not yet in a position to make a final reply and we will provide you with reasons for the further delay and we will also advise you as to when we should be in a position to provide you with a final reply. If you are dissatisfied with the delay which has occurred you may at this stage refer the matter to our regulatory body. We will provide you with details at this stage. You do have the right at any time to refer this matter directly to our regulatory body and details of the regulatory body will be provided to you upon request.
